Some caregivers drive between clients or to appointments as part of their job. Your agency may reimburse you for mileage or other expenses. How and when this happens depends on your agency's process and whether Hailo is configured to track it. Your agency records mileage either through the app or in their back-office system. If tracked in Hailo, you may enter miles after a shift or the agency may calculate it from your clock-in locations. The miles are converted to a dollar amount using your agency's mileage rate (often based on the IRS standard rate) and added to your paycheck. Mileage — driving from home to clients or between client visits. Supplies — gloves, hand sanitizer, or other items you buy to use at work. Travel — parking fees, tolls, or public transportation costs you cover for work. Training or certifications — classes or exams your agency required you to take Ask your agency how they want you to track and submit mileage or expense receipts. Some agencies provide a form in Hailo, others use email or paper forms. Keep clear records with dates, destinations, and amounts. Ask your agency what documentation they need (receipts, odometer readings, etc.). Your agency includes approved mileage and expenses in the payroll run for that pay period. Reimbursements are usually added as a separate line item on your paycheck. If your agency needs approval from you or a supervisor, there may be a delay. Ask your agency about their timeline and approval process.
