After a caregiver clocks out, the visit enters a multi-stage workflow: your team reviews and approves it, corrections are made if needed, the visit is locked for billing and payroll, and finally money is processed. Here is how it flows. The caregiver taps Clock out in the app. Hailo records the checkout time, location, and duration. The visit shifts from In progress to Completed status. Hailo automatically computes approval flags (late, missed clock, GPS missing, etc.) and adds the visit to the Approvals queue. A coordinator or manager opens Scheduling > Approvals and sees the visit. They review the time, location, tasks completed, and any flags. For clean visits (no flags), they can approve with one tap. For flagged visits, they investigate the issue and decide whether to approve, correct, or hold for more information. If the time is wrong or the location doesn't match, the coordinator edits the clock-in or clock-out time. They select the reason for the correction (traffic, device issue, etc.) and add a note explaining the source (caregiver report, client confirmation). The corrected times become the basis for billing and payroll. Once the time is accurate and all flags are resolved, the coordinator approves the visit. Approval means the visit is accurate and ready for downstream workflows. The approval status changes from Pending to Approved, and a timestamp records when and by whom.
