Hailo organizes caregiving work at three levels: plans (recurring patterns), shifts (individual visits), and publishing (making shifts visible to caregivers). Understanding each level and how changes ripple through the system helps you manage schedules confidently. A recurring care plan captures the repeating pattern: which days of the week, what time, how long, which caregiver or assignment method, and service details like location and EVV rules. When you create or edit a plan, you set parameters that affect many future shifts at once. Plans define how many weeks ahead to publish shifts automatically, whether to notify caregivers when new shifts appear, and how to handle exceptions. Plans have start and end dates so they don't generate visits forever. A shift is one appointment: a specific client, date, time, duration, and assigned caregiver. Shifts come from two sources: you create them manually, or a recurring plan generates them automatically. Every shift carries its own assignment, rate, EVV settings, tasks, and notes. You can edit a single shift independently (change its time, caregiver, or notes) without affecting others. Or, if the shift is part of a plan, you can choose to edit the plan itself and apply the change to many shifts at once. A shift must be published before a caregiver can see it on their app. Publication triggers a notification.
