After a caregiver clocks out, visits enter an approval queue. Review them for missing events, time mismatches, location issues, or other exceptions. Make corrections based on evidence and document your reasoning. Open Scheduling and select Approvals. Completed visits normally arrive after the caregiver clocks out. Start with items marked for review, then work through remaining visits before billing or payroll deadlines. Open a visit and compare scheduled time with recorded clock-in, clock-out, duration, location result, tasks, and notes. Review the event timeline, not just the final total. Determine whether the issue is a missing clock event, early or late activity, a location mismatch, overlapping visits, a no-show, an incorrect assignment, or another documented reason. More than one issue may be present. Check available visit history and contact the caregiver. Contact the client or authorized representative when your policy or payer requires confirmation. Do not change time simply to match the schedule if the actual service was different. Edit only the fields your evidence supports. Enter the corrected time or status, select the appropriate exception reason when offered, and add a short factual note explaining the source. Preserve the original event history. Confirm payable duration, billable duration, caregiver rate, client rate, mileage, and reimbursement after the correction.
