Create invoices from approved visits, add any authorized adjustments, and deliver them to the responsible party with your agency's payment options. Go to Billing and check Ready to invoice. This view shows approved, uninvoiced visits grouped by client so you can see which service is ready to bill. Click New invoice and select the client. Confirm you have the correct payer or responsible party, especially when a family member, insurer, or other organization pays for care. Use approved shifts when billing completed care recorded in Hailo. Add custom line items only for legitimate charges not represented by a visit. Do not add manual copies of existing visits. Check each service date, description, hours or quantity, rate, and amount. Remove a visit if it needs correction, fix and reapprove the source visit, then invoice it later. Include authorized reimbursements, mileage, fees, supplies, credits, or adjustments when your billing agreement permits them. Use clear descriptions the recipient will understand. Review the recipient, issue date, due date or payment terms, and selected payment method. If a needed payment method is unavailable, update Settings under Billing first. Select Email the invoice to create and send it, Mark as sent when delivered outside Hailo, or Save as draft when another person must review it. Confirm email addresses before sending.
