Before finalizing payroll each period, review visits for accuracy and resolve exceptions so caregiver hours and pay are correct. Open Payroll and select the period you need to approve. Verify its start and end dates match your payroll provider's cycle. The stat row shows how many caregivers are ready, need review, have upcoming shifts, and total hours approved. Start with the Needs review tab to see caregivers flagged for attention. Look for visits marked Needs review, Missing clock, Location flag, or Overlap. Open a caregiver's detail to see all their shifts in this period, including which ones have exceptions and their status. For each exception, compare the scheduled time with the recorded clock-in, clock-out, and duration. Review the visit timeline and contact the caregiver or client if details do not match what actually happened. Edit only the clock times, duration, pause, or status that your investigation confirms. Add a factual note explaining the source of the correction, such as 'Caregiver reported 30-min travel delay, confirmed with photo.' Do not guess or adjust time to match expectations. Check whether any reimbursements are pending approval and whether they match submitted receipts or agency policy. Unapproved reimbursements are held out of the payroll run and appear as held on the caregiver detail. Once all exceptions are resolved and documented, select the caregivers who are ready.
